Who this notice is for
This notice explains how KAIQ handles personal information when tutoring companies, tutors, parents and learners use the KAIQ platform.
For learner records entered by a tutoring company, that company normally decides why the information is used and acts as the data controller. KAIQ acts as its data processor. KAIQ is a controller for its own account administration, security, service analytics and billing records.
Information we handle
The information depends on the features a tutoring company enables.
- Names, contact details, account roles and login records.
- Learner year group, lesson schedule, attendance, homework, assessments, progress, teacher notes and uploaded work.
- Parent or guardian contact details and family links.
- Invoices, subscription status and payment references. Full card details are handled by Stripe and are not stored by KAIQ.
- Device, browser, security, error and feature-usage events needed to operate and improve the service.
- Messages, support requests and onboarding information supplied to us.
Why information is used
We use personal information only where it is needed to provide and protect the service.
- Provide tutoring administration, parent dashboards and learning tools.
- Record lessons, attendance, assignments, progress and communications.
- Authenticate users, enforce tenant and family access controls, prevent abuse and investigate incidents.
- Process subscriptions, invoices and account administration.
- Measure reliability and product use so KAIQ can be improved.
- Meet legal, safeguarding and contractual obligations.
Children's information
KAIQ is designed for education and may process information about children. We apply privacy-first defaults, restrict access by role and tenant, and avoid advertising or selling learner data.
Tutoring companies must only enter information they are authorised to use, keep records accurate, and provide parents or guardians with appropriate notices. Automated suggestions and AI-assisted outputs are support tools and should be reviewed by an authorised adult before they affect a learner.
Lawful bases
Where KAIQ is a controller, processing may be necessary to perform a contract, comply with law, or pursue legitimate interests such as securing and improving the service. Consent is used where the law requires it. Tutoring companies are responsible for identifying their lawful basis for learner and family records they control.
International processing
Some service providers may process information outside the United Kingdom. Where this happens, we use an approved transfer mechanism and appropriate contractual and security safeguards.
Retention and deletion
Records are kept only for as long as needed for the service, legal requirements, dispute handling and security. Tutoring companies control the retention of learner records in their workspace. Account, billing and security records may be retained for longer where the law or legitimate fraud-prevention needs require it.
Your rights
Depending on the circumstances, you may ask to access, correct, delete, restrict or transfer your personal information, or object to its use. For learner records controlled by a tutoring company, contact that company first. You can also contact KAIQ using the details below.
You may complain to the UK Information Commissioner's Office at ico.org.uk if you are unhappy with how personal information is handled.
